AVCARD Acceptors - FBO
- What is AVCARD?
AVCARD is an aviation credit card used daily by corporate and private flight departments at both domestic and international
locations to purchase fuel, maintenance, charter, flight training, and related aviation services. Pilots can use the AVCARD around the globe regardless of the brand of fuel they purchase.
This allows the pilot to receive one statement for all of his aviation expenses. One of the pilot's most frequent complaints is
having to maintain a "wallet full of credit cards." Carrying the AVCARD exclusively eliminates this problem.
- Why should I accept the AVCARD at my FBO?
Because you cater directly to aviation, your FBO should accept the most frequently used aviation credit cards. AVCARD is used daily by both the high volume corporate clients and private aircraft operators that make up your client base.
- May I submit AVCARD tickets to my fuel distributor?
Yes. We have arrangements with virtually every fuel distributor. If you do not buy direct from an oil company, you may contact your fuel distributor representative who will set you up. Or you may call our Customer Service Department and we will make all the arrangements for you. It's that easy.
- What are the fees for accepting AVCARD?
AVCARD offers three competitive payment plans. You select the payment plan that best suits your needs. AVCARD is the only aviation fuel card that progressively lowers your service fee as your transaction amount increases. As a convenience to you, you are free to change your payment plan without a penalty at anytime. Once again, you decide which payment plan suits your cash flow needs. We will pay you once a week, twice per week, every 2 weeks, or every 4 weeks.
- What other payment options are available?
For a small additional fee, AVCARD will direct deposit your money for you regardless of the location of your facility. Direct deposit means that no matter how busy you or your employees are, you know exactly when your money is in the bank because we send it there. Direct deposit is available to you regardless of which payment plan you select. Simply complete the Direct Deposit form available from AVCARD and mail or fax it along with your Merchant Agreement. Also, Electronic Funds Transfer (EFT) is available to most U.S. banks.
- Do I need a special equipment?
No. AVCARDs can be used with any major credit card imprinter and is accepted on many POS machines. You will not be required to make any special purchases to accept the AVCARD. If you have a POS machine, call us and, depending upon the manufacturer of the machine, we will program it over the phone.
- What if AVCARD is not accepted on my current POS machine?
You may send paper tickets to AVCARD for processing. Coming soon, we are currently developing and internet option.
- What supplies do I need?
When you join the AVCARD system, you will receive a starter kit containing all the supplies necessary to accept the AVCARD. Included with your kit will be a two-sided window decal and a quality counter display with applications for your customers. All supplies, including invoices, displays, and envelopes are free and provided promptly at your request. There is never a charge for any of these supplies.
- How do I become an acceptor of AVCARD?
Becoming an AVCARD acceptor is as simple as signing a Merchant Agreement form. Your Merchant Agreement may be faxed or mailed to AVCARD for your convenience. Let AVCARD put you in touch with the corporate and private flight departments you want to serve.
Another expanded service we offer is our web site at http://www.avcard.com We will feature your location free of charge as an additional marketing service to you. All AVCARD customers will see your listing as they surf our web site.

Flight Department - Contract Fuel Program
- What is the AVCARD Contract Fuel Program?
By becoming an AVCARD cardholder, you automatically participate in the Contract Fuel Program which allows you to receive significant savings on jet fuel virtually everywhere in the world.
- Do I need to carry a separate fuel/identification card to participate in the AVCARD Contract Fuel Program?
No. As long as you carry an AVCARD, you will automatically receive the lower fuel price we have negotiated for you.
- How do I know which locations offer contract fuel prices and what those prices are?
Each month you will receive a Confidential Price List & Locations booklet. Our booklet lists all domestic and international contract fuel locations.
Posted price, contract fuel price, and net savings per gallon are easily found for each location. Domestic prices include all taxes for your convenience.
In addition, you may use this site to search the world's airports for a list of services,
contact information, and fuel providers. Access these prices through Fuel Price Search, enter your destination ICAO/IATA
or country and city and a list of prices will appear on the screen. Fuel prices are updated every 24 hours
and are listed in US dollars/US gallon format. You will be given your account number and confidential PIN number when you
become an AVCARD member to access data.
You also have the option to download contact information and available services of all FBOs and fuel suppliers
to your Palm Pilot, Handspring, or other Personal Digital Assistant (PDA). This feature will allow you to carry
with you important contact names, phone and fax numbers, UNICOM or ARINC frequencies, hours of operation
and the services available from over 7,200 AVCARD worldwide acceptors.
- Will I receive a discount on my fuel?
As long as you carry an AVCARD, you will receive pre-negotiated discounts at contracted FBOs both domestically
and internationally. There is no cost for the membership and every month you will receive a free AVCARD Confidential Contract
Fuel Price List & Locations booklet to keep aboard your aircraft or with your dispatcher
to make it easy to receive the AVCARD contract fuel discounts.
- Do I need to call ahead to prearrange my fuel for each trip?
No. Unlike other contract fuel programs that require you to divulge the exact itinerary of your trip
to third parties, the AVCARD Contract Fuel Program allows you to operate independently and confidentially. You
simply check our price book or our web site for locations during flight planning or en route, and present your
AVCARD to line service personnel at the point of purchase. Outside the United States, unless indicated otherwise
in our price book or on this web site, request the appropriate into-plane service and present your AVCARD
for payment. We are happy to quote prices and if one of our locations is a high-volume stop for you,
we may even be able to beat our published price. If you are unsure that a particular location is an AVCARD dealer,
present your AVCARD. This will guarantee you receive a discount if at an AVCARD location. We double-check all invoices
received before processing to ensure the price you pay is the lowest.
- When I travel internationally I use a handler who also has a contract fuel card. Can I request that they arrange AVCARD fuel?
Your handling agency will not arrange fuel from a competing company. Simply tell your handler that you will make your own fuel arrangements and present your AVCARD to the appropriate fueler. You are paying premium prices for the handler to arrange services. Let AVCARD help you pay the lowest price for your uplifts.
- Will I pay high administrative fees when I use the AVCARD Contract Fuel Program?
No. Unlike other contract fuel companies that charge between 7% and 15% administrative fees, there are no administrative fees when fuel is purchased at AVCARD contract fuel locations. Administrative fees inflate your overall operational costs and our program aims to lower these costs for you. When comparing fuel prices, make sure you add in the administrative fee charged by other companies to their fuel price per gallon. You may be surprised how these fees inflate the total cost per gallon.
- Aren't contract fuel prices simply 5¢ or 6¢ per gallon below posted prices? I can negotiate that on my own.
The AVCARD Contract Fuel Program offers discounts well below posted prices. We have negotiated prices at many locations that could save you up to $3.00 or more per gallon.
- When I fly internationally I do not use a handler. Do I need to prearrange my AVCARD contract fuel?
No. Upon arrival, simply request the proper into-plane service mentioned in our price book or on our web site and present your AVCARD. Any other services such as landing fees, catering, maintenance, and deicing, just to name a few, can be charged on your AVCARD. As long as there is a fuel purchase on the same ticket, no administrative fees will be charged. As a matter of fact, AVCARD provides phone and fax numbers on our web page for many handlers that will aid you in self handling.
- I rarely fly outside the United States and Canada. Will this program be of any value to me?
Yes. By utilizing the AVCARD contract fuel FBO network you will save significantly on your fuel costs. Your savings are recorded on monthly reports we send to you tracking both the current month and year-to-date totals. We have contract fuel available across North America at the most frequented general aviation destinations.
- I have negotiated a price for my flight department at one of our volume locations that is better than the AVCARD price. Will I lose this discount if I charge the uplift on my AVCARD?
No. At line service, make sure the counter person is aware you have a special price. Then simply present your AVCARD for payment and sign your AVCARD charge ticket.
- How do I become a member of the AVCARD Contract Fuel Program?
It's easy. You have several options. - Simply call 1-800-AVCARD-1 and an AVCARD Regional Account Manager can handle your application by phone.
- Or, print a copy of our acceptor application from our web site, sign it, and either mail it or fax it to us. Our address and fax number are listed below.
- Call us and we will send or fax you an information packet that includes an application.
- What do I need to access AVCARD's Contract Fuel prices?
You will need your AVCARD six-digit account number or the five digits following the "A" from any of your credit card numbers and your confidential PIN which is automatically assigned to all
AVCARD cardholders. Please contact AVCARD at info@avcard.com or call us at 1-800-AVCARD-1 if you do not have these numbers readily available.

AVCARD Acceptors - Contract Fuel Program
- What is the AVCARD Contract Fuel Program?
AVCARD is a contract fuel program used to purchase jet fuel at selected sites around the world. All of
AVCARD's 10,000 cardholders rely on AVCARD to direct them to contracted FBOs offering these fuel savings.
- Why should I contract with AVCARD at my facility?
The high cost of operating a flight department in today's economy has forced pilots to be more selective with
their fuel dollar. Offering AVCARD contract fuel allows us to direct more volume to your FBO while you
remain in control of your selling price. Having an effective and published program in place frees your
employees from constant negotiation with individual pilots. Unlike other contract fuel programs, once
AVCARD negotiates a discount per gallon with you, that's it. We do not burden you with phone calls and
paperwork for each incoming client. Flight departments receive our monthly Confidential Price List &
Location booklet promoting locations and prices available and are in frequent contact with us for location referrals.
In addition, your FBO will be featured on this web site, enabling our pilots to search the world's airports for a
list of services and fuel providers.
- Why should I select AVCARD over another contract fuel company?
AVCARD has a proven track record of mutual satisfaction since 1978. With 20 years of experience, longer
than any other contract fuel company, we directly qualify business to AVCARD locations in a variety of ways.
We promote your location every month through free listings and free advertisements in our monthly price
book. We have an experienced sales force that maintains close contact with our members to continually
promote your FBO. We also "spotlight" savings at individual locations and will mention in our newsletter
when special events in your area may promote increased business at your facility.
- Besides the printed price book, what additional marketing is available for my facility?
AVCARD maintains the industry's most comprehensive web site with "real time" price quotes and extensive
information on every merchant who accepts AVCARD worldwide. As an AVCARD contract fuel provider,
your facility is always displayed with additional highlights to bring attention to your participation in this
valuable program. In addition, whenever someone requests additional information on your location, we offer
you the option to add your logo and corporate slogan to our display and your local contact information and
services offered.
- Can I use AVCARD as my "In House" discount program?
Yes. Many FBOs are discovering that it is more and more difficult to maintain confidentiality in pricing between home base and transient customers. AVCARD can be your "in house discount program", putting
everyone on a level playing field. You set your posted price and adjust it when needed. Select a "flat rate"
discount per gallon or a tiered rate based on volume purchased with a higher discount on larger volumes.
- What are my fees for accepting AVCARD?
Your contract with AVCARD covers both the discount passed on to the pilot and the marketing fee retained
by AVCARD to cover our promotional costs, accounting costs, and profit. There is no "set" discount. You
negotiate the total amount to be discounted per gallon, and that total includes both our fee and the discount to
the pilot.
- How soon will I receive payment?
By regularly mailing your signed delivery documents, and depending upon the payment plan you have chosen,
you could receive a check as often as every week.
- Can AVCARD generate income for me in any other way?
Yes. If you prefer, AVCARD will provide you with a renewable fuel inventory and then pay you an into-plane
fee for every gallon pumped to an AVCARD member. You negotiate directly with AVCARD to set the
into-plane fee that we will pay you.
- Do AVCARD clients carry an AVCARD credit card for identification?
No. Our clients carry an AVCARD credit card. When a customer presents this card, you simply process the
transaction on an AVCARD sales ticket at the discounted price per gallon.
- What supplies do I need?
When you join AVCARD, you will receive a starter kit containing all the supplies necessary. Provided are
sales and transmittal tickets and procedures on how to fill them out. Any major credit card imprinter may be
used with the sales tickets. All supplies are free and replacements are provided promptly at your request.
Also included will be a two-sided window decal and a quality counter display with applications for your
customers.
- Will I have a separate merchant number with AVCARD?
Yes. AVCARD sales are processed with AVCARD sales tickets, transmittals, and an AVCARD Merchant
Number. For your convenience, they may be remitted for payment in the same envelope as AVCARD.
- Can I process AVCARD contract fuel transactions on my POS system?
No, unless that system is the AVCARD POS system. AVCARD's POS system not only automates these
transactions, but it is also packed with other functionality that will make any AVCARD transaction simple and
intuitive for your front counter staff. For more information, click here.
- How do I become an AVCARD contract location?
Becoming an AVCARD location is as simple as signing the Merchant Agreement form. Our representative will
negotiate your contract price with you. Then, you may return your agreement by fax or mail. You will
automatically be eligible for free advertisement in our monthly price book. Let AVCARD direct additional
business to your location and promote your facility every month of the year!

Downloading Merchant Information to a PDA
- What is a PDA?
PDA is the acronym for "personal digital assistant". These are small hand held electronic devices that can perform many of the functions of a personal computer.
With a PDA you can access the Internet, store data and run a variety of application software.
- Which types of PDA's can be used to download information from AVCARD's Web site?
AVCARD uses an intermediary called AvantGo, which allows the downloaded data to be formatted for use by a variety of PDA operating systems.
For a list of PDA's currently supported, please visit their Web site at www.avantgo.com.
- Do I need any Special Software?
You will need to set up an account with AvantGo and install the AvantGo client software on your computer. Each time you request to have AVCARD data downloaded to your PDA, we prompt you about the need for an AvantGo account. For those who need to activate an account with AvantGo, AVCARD provides a link to their Web site. The AvantGo software is easy to install and the AvantGo client software and account are FREE.
- How do I download data from the AVCARD Web site?
Before you can begin the download process you need to define the data you wish to download. This is done by clicking on "Worldwide AVCARD Acceptors" and selecting the airport merchant search criteria you require. Once the search results are displayed you will see a prompt in the upper right corner called "Download to PDA". Simply click on this text and AVCARD's Web site will walk you through the process.
- What data can be downloaded?
All data displayed for your search criteria can be downloaded to your PDA. This includes all merchant contact information for fuelers, ground handlers, FBOs and other aviation service suppliers that fulfill your search criteria.
Once you have downloaded the data, it will appear on your PDA in a format similar to the format on the Web site. This includes the ability to click on any vendor in the list and drill down for
vendor specific information such as contact name, phone, fax, address, services available and hours of operation.
- Can I download the entire database to my PDA?
No, the entire database would exceed the storage capacity of most, if not all, PDAs. In addition, AVCARD's Web site currently limits large search
criteria to the country level internationally and the state level in the U.S. This allows all Merchants accepting AVCARD in China or New York,
for instance, to be downloaded.
- Can I download multiple locations at one time?
The AVCARD Web site does allow the user to request multiple airport IATA/ICAO airport designators. Simply enter each designator into the search box separated
by a comma. This data can then be downloaded to your PDA.

airPortfolio General Information
- What is airPortfolio?
AVCARD's premier e-Commerce site, airPortfolio, was designed to fulfill the needs of 21st century account management. The site allows current customers to retrieve account
information in seconds, eliminating the time consuming correspondence process. This allows you to spend more time on other activities, thus streamlining the account
management process.
- Who can use airPortfolio?
The site is designed for use by existing AVCARD cardholders. If a non-cardholder should navigate to the Log In page, they may access an online application to become an AVCARD
cardholder, but may not advance any further through the site.
- How do I access airPortfolio?
The e-Commerce service is accessed directly from the Internet on AVCARD's home page, www.avcard.com. From the
main page, choose the airPortfolio tab, which will direct you to the airPortfolio Log In page. You can also access the site
anytime while you are in the AVCARD website by choosing the Cardholders tab from the navigation bar at the
top of the screen.
- What exactly is offered on the system?
The airPortfolio system is divided into two sections. The first section is comprised of account information. In this section, you can access the
information contained in your account, such as addresses and account aircraft. You can also make changes to that information. The second section is the reporting
section, which is comprised of several different reports designed to provide a visual analysis of account activity.
- How secure is the information I view on airPortfolio?
AVCARD made the security and safety of customer information a top priority as the airPortfolio system
was developed. All information is transmitted through Secure Sockets Layer (SSL). This means that the information that is
transmitted between your computer and the AVCARD site is encrypted in such a manner that only the two computers can interpret the
data. Click on security to find out more about AVCARD's security measures, and what you can do to ensure that
your data remains safe and confidential.
- How do I sign up for the service?
In order to benefit from the services that airPortfolio offers, it is necessary to register. This is done by
accessing the site and choosing the Register Here link. You should then be viewing
the screen for the first step in the registration process. After you have accepted the agreement terms, you need to enter either your current 4-digit PIN
number that is used to access contract fuel pricing information, or your 5-digit registration, which was mailed out to your
accounting department. Once you have entered this information, you will need to enter other identifying information which will be used to
authenticate your secure airPortfolio sessions.
- What if I do not know my PIN number and do not have my 5-digit registration number?
If you should find yourself in this situation, you can click on a link that will allow you to enter a tail number. If the background system check on the tail number is valid, you will
be prompted to continue the registration process. Otherwise, you will be prompted to contact the AVCARD customer service department at 1-800-AVCARD1.
After verifying some account information with you, a representative can provide you with the appropriate PIN number to allow you to register.
- What do I do if I am having difficulty in the registration process?
You can contact the AVCARD customer service department at 1-800-AVCARD1, and one of the support people can walk you through the rest of the registration
as well as answer any questions you may have.
- When can I start using the service after I have registered?
Once you have registered to be an airPortfolio user, your registration information is verified, and within
one business day, the User ID and Password that you selected will be activated. You will be notified by email that your online account is
ready to use.
- What do I do if my company has multiple users?
The airPortfolio site is designed specifically to handle multiple users from the same company, and built-in access levels to accommodate
situations such as these. For example, a company may have four individual users, but only one of them has the ability to make changes to
the account. Other registered users in this scenario may access the system to only view the account information. For this reason, each individual
must have a unique User ID and Password. AVCARD will ascertain which individuals in the account will be responsible
for ensuring proper authorization and what level of access individuals in the account will have.
- What do I do if there are features that I would like to see and cannot find on the airPortfolio site?
Please send an email to Customer Service. At AVCARD, we are
continuously soliciting customers' comments, so that we can better serve your information needs.

Yes. You may request additional cards for an aircraft that already exists on your account by choosing Request Additional Cards from the left side of the screen.
Then select the appropriate Tail Number from the drop down menu in the main content screen, enter the ICAO where the Aircraft will be based,
and the number of additional cards you need. Click Add Card to complete your request.
- Can I make changes to my aircraft fleet using airPortfolio?
Yes. Besides requesting additional cards for existing aircraft, you may add and delete aircraft from your account.
To do either of these items, choose Add an Aircraft or Delete an Aircraft from the left side of the screen. Either the Add an Aircraft screen will be displayed or the Delete An Aircraft
screen will be displayed. Enter the appropriate information. When adding a card, remember to enter the number of cards requested, then click Add at the bottom of the screen.
When deleting a card, be certain to destroy the corresponding credit cards, as they will no longer be valid; then click Continue. The system will then ask you to verify that
the information entered is correct. If it is, click Yes to complete your request.
- Can I view recent transactions on my account using airPortfolio?
Yes. Using airPortfolio, you can view the last 30 days of activity on your account. There are several ways that you can view this information.
By selecting List of Credit Cards from the left side of the screen, and choosing the 30 Days Activity link that appears on the list in the main content screen, you can choose to view activity
- By credit card number, or
- By tail number.
It is important to note that the 30 Days Activity link appears only next to tail numbers and card numbers that have had activity within the last 30 days.
- By selecting the Reports, then Standard Reports from the left side of the screen. This will provide you with the last 30 days of activity for the entire account.
- What does the 30 Days Activity contain?
On the 30 Days Activity log, you can view all transactions charged to your account. These can be viewed by a specific tail number, specific card number, or all transactions.
The activity is listed in descending order starting with the most recent transaction date. If you select the Ticket Number link, you can view the actual ticket detail.
The ticket detail screen includes the location of purchase, the ticket number, ticket date, and a description of what was purchased.
- What if I do not see a purchase that I made on my 30 Days Activity listing?
If you have recently made a purchase that you do not see on your activity listing, it is possible that the electronic data for the transaction has not been received
and posted in our files. If the purchase was made at a merchant location that submits tickets through the U.S. Postal Service, it may not have arrived at our processing center.
If you are concerned about a purchase that was made some time ago that you still do not see on your activity listing, or the purchase is shown inaccurately, call our customer service
department at 1-800-AVCARD1 to receive help resolving the discrepancy.
